By making a reservation or staying at The ICON Hotel Luton (“the Hotel”, “we”, “us”, “our”), you agree to comply with the following Terms and Conditions. Please read them carefully before booking.
- General Information
- These Terms and Conditions apply to all bookings made directly with The ICON Hotel (via our website, telephone, email, or in person) and to all guests staying at the property.
- Bookings made through third-party platforms (e.g. Booking.com, Expedia) may be subject to additional terms set by those providers.
- The ICON Hotel reserves the right to amend these Terms at any time, with updated versions posted on our website.
- Bookings
- A booking is only confirmed once a valid payment method has been provided and a confirmation email issued by the Hotel.
- The person making the booking must be aged 18 or over and is responsible for ensuring all details are correct at the time of booking.
- Special requests (e.g., accessibility requirements, late check-out) are subject to availability and not guaranteed.
- Group bookings (5 rooms or more) may have additional terms and deposit requirements; please contact the Hotel directly for details.
- Check-in and Check-out
- Check-in: From 3:00 PM
- Check-out: By 10:00 AM
- Early check-in and late check-out are subject to availability and may incur additional charges.
- Guests are required to present a valid photo ID and a credit or debit card upon arrival for verification and security deposit purposes.
- The Hotel reserves the right to refuse check-in if the guest fails to provide valid identification or payment.
- Payments and Deposits
- Payment may be required at the time of booking or upon check-in, depending on the rate type selected.
- The Hotel accepts major credit/debit cards and cash (GBP).
- All rates are quoted in Pounds Sterling (£) and include VAT unless otherwise stated.
- A security deposit may be pre-authorised on your card to cover incidentals, damage, or unpaid charges.
- Any outstanding balance must be settled upon departure.
- Cancellation, No-Show, and Amendments
Standard Flexible Rate:
- Cancellations made up to 24 hours before 3:00 PM on the day of arrival will not be charged.
- Cancellations made less than 24 hours before arrival or in case of no-show will incur a charge equivalent to the first night’s stay.
Non-Refundable / Advance Purchase Rate:
- Full prepayment is required at booking.
- No changes, refunds, or cancellations are permitted.
Group Bookings:
- Separate cancellation policies apply and will be confirmed in writing at the time of booking.
- Amendments to bookings are subject to availability and rate differences at the time of change.
- Refunds (where applicable) will be processed using the original payment method.
- Guest Behaviour and Responsibilities
- Guests must conduct themselves in a respectful and responsible manner toward other guests, staff, and property.
- The Hotel reserves the right to refuse service or terminate a stay without refund if guests:
- Cause a disturbance or nuisance
- Damage property
- Violate fire or safety regulations
- Engage in illegal or offensive behaviour
- Guests are liable for any damage, loss, or excessive cleaning required as a result of their stay. Associated charges may be applied to the card used for booking.
- Smoking and vaping are strictly prohibited inside all rooms and public areas. A cleaning fee of £250 will apply for violations.
- The Hotel is not responsible for loss or damage to personal belongings, or valuables left on the premises.
- Children and Extra Beds
- Children under 18 must be accompanied by an adult.
- Extra beds and baby cots are available in certain room types only and must be requested in advance. Additional charges may apply.
- The maximum occupancy per room must not be exceeded.
- Pets
- The ICON Hotel operates a discretionary pet policy whereby well-behaved pets will be allowed if discussed in advance. Registered assistance animals are accepted.
- Advance notice is required for guests travelling with an assistance dog.
- Offsite Parking
- Vehicles are parked at the owner’s risk. The Hotel accepts no responsibility for loss or damage to vehicles or contents.
- Force Majeure
The Hotel will not be liable or responsible for failure to perform any obligations due to events beyond our reasonable control (including but not limited to natural disasters, government restrictions, pandemics, strikes, or power failures).
- Limitation of Liability
- The Hotel’s total liability shall not exceed the total booking value, except for cases involving death or personal injury caused by our negligence.
- We accept no responsibility for indirect or consequential losses.
- Privacy
Personal data provided during booking and stay will be handled in accordance with our Privacy Policy (GDPR), available at privacy policy.
- Governing Law
These Terms and Conditions are governed by the laws of England and Wales, and any disputes shall be subject to the exclusive jurisdiction of the English courts.
